Why is a subscription to Gallabox necessary?

At present, direct integration with WhatsApp (Meta) is restricted unless you’re a Meta Tech Partner. While there’s a possibility of future allowances, we opted not to wait. Instead, we’ve partnered with a service provider offering a robust WhatsApp chat system with bot capabilities for future enhancements. Brilion’s ultimate aim is to enable new bookings, cancellations, and rescheduling directly through WhatsApp using a bot. This objective aligns seamlessly with the Gallabox solution.

Critical notice (Whatsapp rules by meta)

Here are the factors to consider before determining whether to opt for a new number or your existing number for WhatsApp integration.
  • You will not be able to use WhatsApp on your phone after integration, and your previous conversation history/contacts will not be migrated to Gallabox.
  • Conversations can only be initiated using approved templates; responses are permitted only after their initial reply.
  • Every conversation operates within a 24-hour session, incurring a cost imposed by Meta. Please refer to the cost section below for detailed charges. For instance, if the cost per session is 8 cents, the entire communication within a 24-hour period with a single user will be billed at 8 cents.
  • Brilion suggests utilizing a new, unused number for WhatsApp API integration, conducting all auto notifications and marketing activities from that number. Meanwhile, it is advisable to keep your current WhatsApp number unchanged.

How to get started

Step 1: Register an account with Gallabox (https://gallabox.com/). Brilion clients will be assisted by our dedicated account manager, Alavuddiin. For step-by-step guidance, contact him via WhatsApp at +91 78679 92507 Email at Alavuddiin@gallabox.com. Choose all utility templates from the Brilion section in the Gallabox library. Step 2: After creating your account, input the API details into Brilion by navigating to Integration > Messaging app > WhatsApp. Once completed, please notify us (Note: We are currently in the process of automating this step). Step 3: Initially, Meta permits 250 sessions per day. As engagement increases, WhatsApp allows up to 1000 messages daily. To exceed 1000 messages, Facebook verification is required. Template Modification

Feel free to share your suggested notification template, and we’ll handle the editing for you. Please note that prefixes in the template cannot be removed. The process typically takes 2 business days. There is no extra cost for template edits during integration. However, if you request template updates post-integration, a fee of AED 150 applies. Additionally, creating marketing templates is free and can be done at any time, with no limitations.

  • To integrate with a payment gateway, please navigate to Settings > Integration > Online payment.
    • You will now be able to selected your preferred choice of payment gateway that you want to integrate with by clicking on them.
    • You will have to fill in the details which is your “Publish Key” and your “Secret Key”.
    • Now the payment gateway is integrated with your account and it will be highlighted in green notifying that it is active.

  • If your crews are not receiving the booking details in advance, then we’ve made this feature available where you have the option to show the crew only today’s notifications or today and the future booking notifications.
    • To enable this, you will need to go under Settings > Integration > Crew App and enable Today and Future Days notifications.
    • Hit Save and now the crews will get their booking in advance on their Crew app.

  • To create a discount code, please navigate to Settings > Discount > Create a Campaign +.
    • You can type the campaign name which could be the event that the discount code is for. Here, we have a discount code which says Fifty Discount indicating that it gives you a 50% discount of the booking amount whenever you apply that code.
    • You can choose between whether you would want to give the discount in percentage or a flat amount that gets deducted when the code is applied. Also, you can have the discount code for all services or just on select services.
    • The target audience could be set according to the code. For example, if you want the customers to use your customer app, you’d want to go with the option Only Mobile App New Customer. The payment type could be online in case you want your customers to move to online booking to avail the discount.
    • You also have the option to have the same code or have unique codes. Type in the number of uses and the code that the customer needs to enter.
    • You have multiple ways to select between when to start the code. Select according to your preference and hit Save. The discount code will now be created and visible to you under Discounts and Promotions.
    • To activate or deactivate a discount code, you need to click on the green or the red button based on the Status.

  • To send the links of the crew app, please navigate to Settings > Integration > Crew App.
    • Here, you can scroll down and find where it says App Store (iOS) and Play Store (Android). These links can be copied and sent to the crews based on the OS they use.
    • The crews will be able to tap on this link and it will redirect them to the Brilion Crew App. They can then download the app and use the Company ID and their password to access the Crew app.
